Introduction:

  • Supports the Head of Global Drug Regulatory Affairs and the team members in all administrative matters
  • Schedules appointments, arranges meetings and manages working schedule
  • Organizes travel arrangements, internal processes related to expenses

Main Responsibilities:

  • Supports the Head of Global Drug Regulatory Affairs and the team members in all administrative matters

  • Act as a ‘first point of contact’ answers telephone, takes messages, returns calls, makes
  • appointments and coordinates in order to facilitate communication and helps to ensure that
  • departmental priorities and commitments are met
  • Prepare letters, faxes and emails independently with minimal instructions
  • Actively communicates with other Administrative Assistants and company staff to minimize
  • interface work problems and improve company administration
  • Organizes interviews for permanent and temporary positions on behalf of Human Resources
  • Collects inputs, distributes the DRA Newsletter and keeps the international contact list up to
  • date
  • Uploads and track all related documents for the DRA team using the internal tracking tools
  • Organizes internal training sessions, internal and external meetings and welcomes and
  • supports visits of externals and takes care of most group events
  • Processes consultant bills, invoices in general, other departmental expenses
  • Takes care of onboarding new employee/leaving employee
  • Organizes internal training sessions, organize and distribute training materials internal and external meetings and welcomes and supports visits of externals and takes care of most group events

Qualifications and Experience:

  • Prior secretarial experience or equivalent qualification with above average general secretarial skills.
  • Knowledge in computing with at least intermediate skills on Microsoft Office, email, Internet, as well as meeting and event organization
  • Ability to communicate effectively in English; French and German would be a strong asset.

  • Ability to work independently on routine tasks
