Introduction:

To support the smooth running of a small dynamic office in central Basel including the preparation of contracts / procurement activities based on contract templates, manage the contracting process including the filing and maintenance of on line databases. Main Responsibilities:

  • Prepare, review, amend and finalise contracts, using appropriate templates and entering the specificities of each contract request in the contract templates;
  • Review all contracts to ensure legal and/or regulatory compliance;
  • Ensure accurate and consistent version control of the contracts;
  • Track, file, and administer contracts;
  • Follows departmental procedures for contract development, review and obtaining internal approvals;
  • Develop contract amendment drafts and review them with all relevant internal partners and stakeholders;
  • Proactively identify and communicate any potential contract issues, such as financial or legal viability and potential risks;
  • Ensure each contract clearly, concisely and explicitly outlines the business objectives, deliverables, timing, costs, responsibilities of the different parties, and business expectations or success metrics;
  • Maintain the contracts and archives files and related on line databases proactively and accurately up to date in order to ensure the systems’ capacity to provide real-time information;
  • Ensures compliant, thorough, appropriate, and timely review and finalisation of all assigned contracts;
  • Follows all laws, regulations and policies that govern the conduct of all activities;
  • Support with relationship building / administrative activities with New York and French offices;
  • Taking of minutes for some meetings;
  • Support for the establishment of Standard Operating Processes and relevant documentation to ensure full compliance;
  • Support of the company IT systems by collaboration with technical specialists;
  • May also support his/her manager and the department overall in the development and implementation of departmental standard operating procedures (SOPs) and tracking methods;
  • Facilitates contract review and negotiation with external parties;
  • Additional responsibilities will be dependent on experience and motivation.

Qualifications and Experience:

  • Bs or Ms degree in Law, Business Administration or similar;
  • Understand of the basic principles of contract law and contracts and budget review;
  • Ideally also prior experience in drafting, reviewing or negotiating contracts;
  • 4 or more years' related work experience, with e.g., legal, contract management and administration; preferably with extensive experience gained in the pharmaceutical, biotech or other highly regulated industry;
  • Demonstrable knowledge of, or the aptitude to learn, the legal and regulatory environment as it relates to the pharmaceutical/biotech industry;
  • Facilitate communication and discussion between stakeholders;
  • IT literacy Microsoft office proficiency essential, and knowledge of databases including budget management tools advantageous;
  • Attention to details essential;
  • Collaborative team player with ability to build effective working relationships with peers and stakeholders;
  • Fluent in both written and spoken English; German / Swiss German / French advantageous;
  • Relevant working/residency permit or Swiss/EU-Citizenship required.
