For one of our clients, a leading global player in the Pharmaceutical industry with global headquarters in Basel, we are currently looking for an enthusiastic Order Manager for a 12-months contract based in Basel.

The ideal candidate should have 3-5 years of experience in a Supply Chain role in Health Care, Chemical or another process industry in timely order management across ERP systems.

Main Responsibilities:

  • Responsible for timely order management across ERP systems, processing according to defined business cases based on planning & master data parameters including the up-to-date status of the order at any point in time
  • Prepare and ensure availability of all relevant documentations and approvals needed to guarantee steadily product flow
  • Provide guidance to assigned customers for returns, write-off’s and credit/debit notes according to the established SOPs and guidelines
  • Perform system bookings for returns and issue credit notes in a timely manner taking into consideration month-end, quarter-end and year-end financial timelines
  • Guide and support 3rd party service provider PLS
  • Perform order confirmation and inbound system booking for manually placed orders according to SOP
  • Support the implementation of monitoring & measurement systems asscociated with increasing the effectivness of the supply chain
  • Ensure correct system set up and linkage to partner system and timely forecast transmission from customer to supplier based on agreed MOQ and order frequency
  • Ensure timely and compliant implementation of regulatory relevant changes on country/affliate level, including monitoring of artwork change implementation at order level
  • Support regular updates on Supply Parameters with affiliate and supplier in SAP system
  • Define and decide on priorities for physical deliveries in collaboration with Logistics Experts
  • Ensure compliance with GMP and regulatory requirements (including record management) and continuous improvement of quality relevant processes within area of responsibility
  • Support and implement new set-ups according to business need Service Management
  • Prepare and conduct regular supply review meetings with customers and suppliers according to defined matrix to review and pro-actively identify demand, capacity and supply issues
  •  Participate and support in S&OP meetings
  • Act as first instance for supply issue escalation, connecting with relevant stakeholders to address and actively resolve a bottleneck situation
  • Pro-active management and closure of potential and actual customer stock-outs by close follow up with supplier and maintainance of vendor related input in corresponding global tracking tools
  • Maintain as single point of contact (SPOC) a pro-active and close collaboration and communication with suppliers and customers to guarantee a high customer service level at all times
  • Drive and maintain close relation and involve other functions (Regulatory, QA, Supply Chain, Finance, Artwork, Order management, Logistics) to ensure regulatory and quality compliant product supply
  • Lead and implement end-to-end order migration and supply readiness
  • Ensure sharepoint is updated on time for assigned subjects

Qualifications and Experience:

  • Bachelor degree in Supply Chain Management, Business Administration or Industrial Engineering, at least vocational education in commercial professions complemented by additional training in business administration resp. supply chain management;
  • Languages: English and German – fluent written and spoken;
  • At least 3 - 5 years of experience in experience in Supply Chain role in Health Care, Chemical or another process industry;
  • Comprehensive understanding of Supply Chain processes incl. customer service and vendor management;
  • At least 3 years of experience in SAP usage (advanced user knowledge);
  • Good understanding of ERP implementation methodology;
  • Computer literacy: Office applications (Excel, Power Point, WinWord) and Visio;
  • Proven project management ideally in a cross-functional project;
  • Well structured, strong conceptual thinking and process-orientation;
  • Can document processes well and good presentation skills;
  • Must be a confident personality with a can do attitude who is willing to expose issues and work collaboratively across functions to put in place systemic solutions that address root cause and deliver on expected timelines;
  • Strong analytical, problem-solving and critical thinking skills;
  • Strong orientation towards actions, solutions and results;
  • Relevant working/residency permit or Swiss/EU-Citizenship required.
